As announced in April, the VSC is moving forward with a project to replace Ellucian Colleague, our Enterprise Resource Planning (ERP) system. The scope of this work includes the potential replacement of UKG, and other software systems connected to Colleague. The ERP Steering Committee spent the summer working on critical pre-planning work and issued a request for proposals (RFP) in August for a replacement system. After reviewing the proposals we received, the Steering Committee decided to invite three vendors to visit and provide demonstrations of their software. The selected vendors are Ellucian, Oracle, and Workday, and demonstrations will take place in mid-November and early December. A reminder of the reasons why this work is important and timely:
- The existing software infrastructure is not sustainable in the future, as identified in the consultant reports and given the industry’s migration to cloud software as a service.
- The current ERP solution does not meet the needs of either the system or the institutions within the VSC, including workflow management, the necessity for significant overrides and customizations, and numerous manual entry requirements.
The Steering Committee will continue to be responsible for making a recommendation to sponsors, but additional subject matter expert reviewers will be included in the demos. The project team is engaging students to provide feedback, as well. The Steering Committee will incorporate feedback from all these groups as they weigh their decision for recommendation.
